Windows Can’t Find Your Printer? Try These Steps Before Reinstalling Everything

Few things are more frustrating than trying to print an important document, only to discover that Windows suddenly can’t find your printer. It may have been working perfectly yesterday, but today it has disappeared completely.

The good news is that, in many cases, the problem isn’t with Windows at all. More often than not, it’s a simple connectivity issue that can be fixed in just a few minutes.

In one of our recent support visits, a client had removed their printer from Windows because it wasn’t working reliably. When they tried to add it again, Windows couldn’t find the printer at all. The printer happened to be a Brother model, but the same troubleshooting process applies to most modern Wi-Fi printers, including Brother, Canon, Epson and HP.

Step 1: Check Whether the Printer Is Still Connected to Wi-Fi

Before uninstalling drivers or changing Windows settings, make sure the printer is actually connected to your wireless network.

Most Wi-Fi printers have a wireless indicator light.

  • A solid Wi-Fi light usually means the printer is connected.
  • A flashing light often means it is trying to connect.
  • No Wi-Fi light usually means it has lost its connection to the network.

If the printer isn’t connected to Wi-Fi, Windows won’t be able to find it.

Step 2: Reconnect the Printer to Your Wireless Network

Most printer manufacturers now provide a mobile app that makes reconnecting to Wi-Fi much easier.

For example:

  • Brother Mobile Connect
  • Canon PRINT
  • HP Smart
  • Epson Smart Panel

Simply connect your phone to your home Wi-Fi network, open the appropriate app and follow the prompts to reconnect the printer.

Once connected, the printer should reappear on your network.

Step 3: Add the Printer Again in Windows

Now return to your Windows PC.

Go to:

Settings → Bluetooth & devices → Printers & scanners

Select Add printer or scanner.

In many cases, Windows will immediately discover the printer and install it automatically.

Don’t Panic If an Old Printer Still Appears

Sometimes Windows keeps an old copy of the printer after installing the new one.

You might even see an error saying:

“Can’t remove this device while it’s in use.”

This is surprisingly common and is often caused by background printing or scanning services.

If it happens:

  • Restart the computer.
  • Close any printer or scanner software.
  • Restart the Windows Print Spooler service if necessary.

If the new printer is working correctly, the old entry is usually harmless and can often be ignored.

Printing Works… But What About Scanning?

Many people assume that if the printer works, the scanner will too.

Not always.

After confirming that printing works, open the Windows Scan app and check whether your scanner appears in the list of available devices.

If it does, perform a test scan.

If Windows cannot find the scanner, installing the manufacturer’s full driver and software package will usually resolve the issue.

A Simple Printer Troubleshooting Checklist

Before spending hours reinstalling software, work through this checklist:

  • Is the printer turned on?
  • Is it connected to your Wi-Fi network?
  • Is the Wi-Fi indicator light showing a successful connection?
  • Restart both the printer and your computer.
  • Try adding the printer again in Windows.
  • Check whether the scanner appears in the Windows Scan app.
  • Install the manufacturer’s full driver package if scanning still doesn’t work.

Final Thoughts

Modern printers are far more reliable than they used to be, but when they do stop working, the cause is often much simpler than people expect.

In our experience, checking the Wi-Fi connection first solves a surprising number of printer problems. Once the printer is back on the network, Windows will often detect it automatically, and both printing and scanning can be restored with very little effort.
